Events Manager

Location: London.  Some regional travel and early morning / evening work required.

Salary: circa £35k p/a (dependent on experience)

The BioIndustry Association (BIA) are looking to recruit an Events Manager to run a wide range of membership events throughout the year.  From a Gala Dinner with 700 attendees, specialist conferences of 100-300 attendees, summer receptions and annual lecture, regional networking events or smaller thought-leadership lunches and roundtables and webinars – this role requires a super-organised, quick thinking and highly flexible individual, whose creativity and attention to detail can help keep our events at the top of the agenda.

Reporting to the Director for Business Development and Membership Services, and working closely with marketing, business development, content and policy colleagues, this role will work across the organisation to maximise to opportunities for BIA events, drawing on our fantastic network of members and stakeholders, and beyond.  We are looking for an individual who is ready to manage this function independently (with assistance from the immediate team), but who is also a great team-working with a proven collaborative attitude to their work, and of course a sharp eye on budgets.

The Events Manager will:

  • Work with the Director BDMS to establish events budgets and P&L for the year
  • Be responsible for delivering all events to agreed budgets, and deliver agreed events contribution for the year
  • Work with Director BDMS and Event Producer (Content) to create sector-leading agendas and attract the best speakers
  • Manage the selection of venues (to spec and to budget) and relationships with all relevant suppliers (caterers, contractors, equipment suppliers)
  • In collaboration with the Membership & Marketing Manager, establish branding for events and roll out across online and print collateral
  • In collaboration with the Director BDMS and Membership & Marketing Manager, plan launches and establish marketing plans for all events
  • Deliver all marketing plans for events
  • Report regularly to Director BDMS and BIA forums on progress with events launches, delegate recruitment and logistical plans
  • Produce project plans for each event, and be ‘on the ground’ to manage these.  Alternatively to delegate sensibly and as agreed to other BIA staff
  • Delegate management – to accurately manage delegate lists, joining instructions and answer queries
  • Securing and manage fulfilment of event and annual supporter expectations
  • Manage post-event evaluation, and work with team members to address feedback and improve the event experience for delegates in a sustainable and ongoing way
  • Manage event content, pages and microsites on the BIA website
  • Accurately and systematically manage events functionality and bookings through our MS Dynamics database

Delegate requirements

  • Degree or relevant marketing qualification with three-five years’ experience in events and marketing
  • Proven strong project management skills in event management and marketing campaigns
  • Experience of managing event and marketing budgets
  • Excellent organisational skills, able to work under pressure and within tight timelines
  • Ability to confidently liaise with contacts at all levels
  • Excellent oral and written communications
  • Experience in using all standard Microsoft programmes and managing online events booking functionality is essential
  • Experience of working with an online content management system (website management)
  • A self-starter who is able to work independently and as part of a team

Education and work experience

Proven experience in end-to-end event management essential.  A background in the life sciences would be ideal. 

Desirable

  • Experience of using Microsoft Dynamics
  • Established network in the life science sector
  • Experience of working in the membership or trade association sector
  • Experience of working with Corporate Members and Sponsors
