Main purposes of the job

The UK BioIndustry Association (BIA) is the award-winning trade association for bioscience in the UK. The position of Events Executive will provide administrative and organisational assistance to the Events and Membership functions within the BioIndustry Association.

The primary tasks are to assist and support the Events Manager in the delivery of the Association’s events and meetings programme, and to assist members of the BDMS team with logistical planning (travel, meetings etc). Broadly, these will be:

  • Support for BIA member events and meetings
  • Supplier invoice and finance assistance
  • Membership administration 
  • Ad hoc operational and project support 

Duties and responsibilities

Events:

  • administrative and organisation assistance dealing particularly with CRM and backend events systems
  • assisting with bookings, raising invoices, liaising with delegates, working with finance and credit control to manage outstanding debt
  • assisting in the run up to, and on the ground at larger BIA events – for example assisting with registration, logistics and catering
  • assisting with marketing campaigns for the events 
  • assisting with and potentially hosting smaller BIA events – particularly seminars, lunches, webinars
  • help to keep events CMS pages up to date
  • assist with build up to overseas events where required
  • Membership:
  • working with Membership and Marketing Manager to run renewals on a monthly basis, and particularly around the bulk renewal times
  • assist with membership records within CRM, keeping records up to date, ensuring that member contacts are correct and building engagement reporting (around business solutions savings, policy activities, newsletter preference lists etc)
  • help to keep membership CMS pages up to date
  • manage CPD administration across the BIA

Other logistics:

Assist BDMS Director and team with logistical planning – travel, meetings finance reconciliation and reporting etc.

 

Knowledge, Skills and Experience

Essential Demonstrable Skills:

  • Flexibility and willingness to adapt to changing priorities
  • Good at working to deadlines
  • Team player with ability to work across departments and skilled when dealing with various internal stakeholders
  • Highly computer literate and aware of relevant technologies incl. CRM (experience of CRM and finance systems would be highly desirable)
  • Meticulous attention to detail
  • Methodical and organised approach to work
  • Problem solving, solutions-driven attitude
  • Excellent communication skills and experience of dealing with external events and attendees
  • Proactive approach in offering assistance when required

Desirable:

  • Interest in lifesciences and/or politics/public affair
  • Knowledge of how a Trade Association or Not-for-Profit organisation operate
  • Degree educated or equivalent
  • Experience of CRM, finance and CMS systems
